OFFICE MANAGER

International Institute on Race, Equality and Human Rights

Location: Washington, DC

The International Institute on Race, Equality and Human Rights (IIREHR) is an international, human rights capacity-building organization that works side by side with activists in Latin America to enhance their ability to promote and protect the human rights of marginalized and vulnerable people who suffer from discrimination based on their national or ethnic origin, their sexual orientation or gender identity.

Position Summary: This position reports to the Executive Director and is responsible for managing, maintaining, and coordinating a variety of projects and office services for our domestic and international program staff.

Essential Duties and Responsibilities: Manage daily office activities to ensure the smooth operation of day-to-day business; maintain conference room reservation calendars; book conference rooms, set up and organize meetings and catering; oversee inventory of supplies for office and order supplies as needed; provide support to Executive Director, program staff and visitors; print, scan, fax, photocopy and distribute accordingly; coordinate and book both domestic and international travel and other arrangements as needed; coordinate with the Logistics Officer in Latin America for reservation of hotels and events; prepare executive travel expense reports and arrange for reimbursement; conduct procurement based on USG grants requirements; assist with the preparation of proposals and letters, ensuring that documents are on letterhead and delivered in a timely manner; prepare and maintain general information books and office procedural manuals; greet visitors, screen telephone calls, arrange conference calls, respond to general inquiries and handle messages for staff; coordinate daily distribution of incoming/out-going USPS mail, Federal Express, UPS packages, and related services; collect time-sheets, vacation requests, travel authorization forms and check requests from staff; perform needs assessments, conduct research (via telephone, internet, referrals, etc.) and make recommendations for new vendors and services; other general office duties as assigned.

Requirements and Qualification: Bachelor’s degree or equivalent work experience; 5 or more years experience in office management and administrative support, including experience supporting multiple executives/managers/personnel; knowledge of USG Grants compliance preferred; strong verbal and written communication skills; strong customer service skills; strong organizational and analytical skills; ability to effectively prioritize work and perform multiple tasks simultaneously; ability to work independently, manage various daily requirements and meet strict deadlines; proficiency with Microsoft Office Suite and general office equipment; bilingual (English-Spanish) preferred.

Start date: Immediate

Salary: Commensurate with experience and scale in non-governmental organizations.
