The International Institute on Race, Equality and Human Rights (Race and Equality) is an international, human rights capacity-building organization that works side by side with activists in Latin America to enhance their ability to promote and protect the human rights of marginalized and vulnerable people who suffer from discrimination based on their national or ethnic origin, their sexual orientation or gender identity.
Position Summary: This position is part-time and reports to the Executive Director and manages, maintains, and coordinates a variety of projects and office services for our domestic and international program staff.
Essential Duties and Responsibilities: Administers HR policies and procedures; conducts recruiting and hiring, as well as onboarding and offboarding; manages daily office activities to ensure the smooth operation of day-to-day business; maintains conference room reservation calendars; books conference rooms, sets up and organizes meetings and catering; oversees inventory of supplies for office and orders supplies as needed; provides support to Executive Director and program staff and visitors; prints, scans, faxes and photocopies documents; main POC for building maintenance and landlord relations; general HR administration; payroll and benefits administration (medical, dental, retirement, disability); coordinates and books domestic and international travel and other arrangements as needed; coordinates with the Logistics Officer in Latin America for reservation of hotels and events; prepares executive travel expense reports and arranges for reimbursement; conducts procurement based on USG grants requirements; assists with the preparation of proposals and letters, ensuring that documents are on letterhead and delivered in a timely manner; prepares and maintains general information books and office procedural manuals; greets visitors, screens telephone calls, arrange conference calls, answer general inquiries and handle messages for staff; coordinates daily distribution of incoming/out-going mail, Federal Express, UPS packages, and related services; collects time-sheets, vacation request, travel authorization forms and check request from staff; performs needs assessments, conducts research (via telephone, internet, referrals, etc.) and makes recommendations for new vendors and services; performs other general office duties as assigned.
Requirements and Qualification: Bachelor’s degree in Business, Human Resources or equivalent work experience (PHR/SPHR/SHRM-CP preferred); At least 5 years experience in an HR managerial role, office management and administrative support,; knowledge of USG Grants compliance; strong verbal and written communication skills; strong customer service skills; strong organizational and analytical skills; ability to effectively prioritize work and perform multiple tasks simultaneously; ability to work independently, manage various daily requirements and meet strict deadlines; proficiency with Microsoft Office Suite and general office equipment; bilingual (English-Spanish) preferred.
